How to Use

  1. Fill in Your business details once, and tick Remember my business details on this device to keep them for next time.
  2. Add the customer you're quoting to. Click Save customer if you'll quote them again.
  3. Under Document details, choose the title (Quotation, Estimate or Proforma Invoice), set the number, date and a Valid until date, and decide whether to show GST.
  4. Add your items with quantity, rate, discount and GST rate, and write your terms (validity, advance, delivery time, payment).
  5. Check the live preview and tap Download PDF or Print to send it to your customer.

What a quotation is for

A quotation tells a customer what you will supply, at what price and on what terms, before they place an order. A clear quotation with item-wise rates, GST, validity and payment terms saves arguments later, and the customer's accounts team can raise a purchase order straight from it. This quotation generator uses the same layout as our GST invoice generator, so the final invoice will match what you quoted.

Quotation vs estimate vs proforma invoice vs tax invoice

DocumentWhen it is usedTax effect
QuotationA firm price offer, usually valid for a stated periodNone; it is an offer
EstimateAn approximate cost when the final quantity or work is not certain (repairs, interiors, construction)None
Proforma invoiceA preview of the final invoice, sent to ask for an advance, open a letter of credit or get internal approvalNone; the buyer can't claim input tax credit on it
Tax invoiceIssued when the supply is made (Section 31 of the CGST Act)Records your GST liability and the buyer's input tax credit

A quotation, estimate or proforma is not a tax invoice, so the tool prints "This is not a tax invoice" under the title. Once the order is confirmed and you supply, issue a proper tax invoice.

Showing GST on a quotation

Business customers usually want to see GST separately so they can compare the cost before tax. Tick Show GST and the tool works out CGST + SGST for a customer in your state or IGST for another state, with a tax summary by HSN code. For consumers, a price including GST is often easier to read.

Line value = quantity × rate − discount
GST = line value × GST rate
Total = sum of line values + GST (± round off)

Example: 20 office chairs at ₹4,500 with 10% discount = ₹81,000 taxable. At 18% GST to a buyer in another state, IGST is ₹14,580 and the quoted total is ₹95,580 (Rupees Ninety Five Thousand Five Hundred Eighty Only).

Terms worth writing down

  • Validity: set a "Valid until" date, especially when material prices change often.
  • Payment: advance percentage, balance timing, and how to pay (bank transfer or UPI; you can add a UPI QR code).
  • Delivery: time, place, and who pays for freight, loading and insurance.
  • Exclusions: anything not included (installation, civil work, transport).
  • Taxes: say whether prices are inclusive or exclusive of GST.

Advances after a quotation

When a customer pays an advance against your quotation or proforma, GST rules treat goods and services differently. For services, GST is payable on the advance, and you issue a receipt voucher (Rule 50). For goods, regular taxpayers haven't had to pay GST on advances since Notification 66/2017-Central Tax (15 November 2017). The tax is paid when the invoice is issued. Rules can change, so confirm with your CA.

Your details stay in your browser. Tick "Remember my business details" to reuse them, and save regular customers with one tap.

Frequently Asked Questions

It's about timing. A quotation is a price offer made before the customer decides. A proforma invoice is a draft of the final invoice, usually sent after the customer agrees, to ask for an advance or to get approvals. Neither is a tax invoice, so no GST liability is recorded and the buyer can't claim input tax credit on them.

For business customers, yes: show the price before tax and GST separately so they can work out their input tax credit. The tool splits it into CGST + SGST for a customer in your state or IGST for another state. You can turn GST off for a simple estimate or when quoting tax-inclusive prices to consumers.

Usually 7 to 30 days. There's no legal rule. Set a shorter validity when your material costs move quickly. Use the 'Valid until' date in the tool so it appears on the quotation.

It can become binding once accepted. A quotation is an offer. When the customer accepts it, for example with a purchase order or advance, a contract can arise on those terms under the Indian Contract Act. Write the scope, price, taxes, delivery and payment terms clearly so both sides know what was agreed.

For services, yes; for goods, no. On services, GST is payable on the advance and you should issue a receipt voucher. On goods, regular GST taxpayers haven't had to pay GST on advances since 15 November 2017 (Notification 66/2017-Central Tax), and GST is paid when the invoice is issued. Check with your CA for your case.
