How to Use
- Fill in Your business (GST registration, name, address, state, GSTIN) and tick Remember my business details on this device to keep them for next time.
- Add the customer with their state and GSTIN, and a delivery address if it's different.
- Under Document details, set the proforma number, date and Valid until date, the advance you want (an amount or a percentage like 50%) and your payment terms.
- Add the items with HSN/SAC, quantity, rate, discount and GST rate. CGST + SGST or IGST is worked out from the place of supply.
- Open Bank and UPI details so the customer knows where to pay (the UPI QR asks for the advance), then Download PDF or Print.
What a proforma invoice is for
A proforma invoice is a draft of the bill you will raise later. You send it once the customer has agreed on the order, so they can see exactly what they will pay, get internal approval, open a letter of credit, or release an advance. This proforma invoice generator lays it out like a GST invoice, with your GSTIN, HSN codes, CGST and SGST or IGST, but titles it "Proforma Invoice" and prints a fixed line under the title: "This is not a tax invoice. Issued for the buyer's confirmation and advance payment."
That line matters. The CGST Act doesn't recognise a proforma invoice as a tax document. You don't report it in GSTR-1, it creates no GST liability, and the buyer can't claim input tax credit on it. When you actually supply the goods or services, you issue a proper tax invoice under section 31 of the CGST Act, with its own number from your invoice series.
Proforma, quotation or tax invoice?
| Document | When | GST effect |
|---|---|---|
| Quotation | Before the customer decides | None. It's a price offer. |
| Proforma invoice | After the customer agrees, before supply | None. Used to ask for an advance or approval. |
| Tax invoice | At the time of supply | Reported in GSTR-1; GST becomes payable; the buyer can claim ITC. |
How the tax and advance are worked out
GST is calculated exactly as on a tax invoice. If your state and the place of supply are the same, the GST is split equally into CGST and SGST (UTGST in union territories without a legislature). If they differ, it is charged as IGST. Tax is rounded to the paisa on each line and the total is rounded to the nearest rupee, which you can switch off.
Same state: CGST = SGST = taxable × GST rate ÷ 2
Other state: IGST = taxable × GST rate
Advance = total × advance % (or the amount you type)
Balance = total − advance
Worked example
A furniture dealer in Pune quotes 10 office chairs at ₹6,500 each to a company in Pune, with GST at 18% (check the current rate for your item's HSN code), and asks for a 50% advance.
| Line | Amount |
|---|---|
| Taxable value (10 × ₹6,500) | ₹65,000 |
| CGST at 9% | ₹5,850 |
| SGST at 9% | ₹5,850 |
| Total | ₹76,700 |
| Advance payable (50%) | ₹38,350 |
| Balance | ₹38,350 |
If the same order went to a buyer in Bengaluru, the tax would be IGST of ₹11,700 instead of CGST plus SGST. The total stays ₹76,700. Add a UPI ID and tick the QR option, and the code on the proforma asks for the ₹38,350 advance rather than the full amount.
GST on the advance you receive
- Goods: regular taxpayers don't pay GST on advances received for goods (Notification 66/2017-Central Tax, from 15 November 2017). GST is paid when you issue the tax invoice.
- Services: GST is due when you receive the advance, and you should issue a receipt voucher (rule 50 of the CGST Rules) for it. The proforma itself doesn't do that job.
When you raise the final tax invoice, show the full value and adjust the advance against it. Ask your CA if you're unsure how an advance should be treated for your business.
Tips
- Set a Valid until date, especially if your material costs move quickly. Seven to thirty days is common.
- Use your own series for proforma numbers (PI-001, PI-002) so they never clash with tax invoice numbers.
- Write delivery time, freight and what happens to the advance if the order is cancelled under terms and conditions.
- Exporters often send a proforma for the buyer's bank or import licence. Choose "Outside India" as the customer's state and the tax is shown as IGST; check whether you export under LUT without tax.
